Job Description
Provide comprehensive administrative support to the Executive team, Senior Management, and HR by managing schedules, handling correspondence, organizing meetings, and performing general secretarial duties such as typing, copying, and filing documents. Assist with catering events, answer incoming calls, distribute mail, and address uniform issues. Support management in organizing events, maintain supplies inventory, and handle HR-related inquiries.
ResponsibilitiesManage schedules and handle correspondence for the Executive team and HR.Organize meetings and perform general secretarial duties including typing, copying, and filing.Order, set up, and break down catering events, including picking up and delivering food.Answer incoming calls, screen, and route calls and messages.Distribute mail and process overnight packages.Collaborate with uniform vendors to address issues and verify receipts.Stock and maintain the breakroom.Support management with event organization, including setup and breakdown.Maintain supplies inventory and verify receipt of supplies.Handle basic HR-related inquiries and assist with HR projects and initiatives.Assist HR department with training, recruitment, and maintaining employee records.Plan and execute monthly service award celebrations, including setup and breakdown.Gather, review, and maintain reports, forms, records, and documentation.Assist with travel arrangements and liaise with travel agencies for international travel.Maintain confidentiality of client, staff, and agency information.Work with President of company to help bridge communication gaps.Essential SkillsMinimum of 2 years of administrative experience.Must be Bilingual in Japanese or able to translate at high level of operationPrevious experience in a manufacturing environment is a plus.Valid driver's license and acceptable driving record.Excellent organizational and time-management skills.Strong communication abilities.Proficiency in Microsoft Office Suite and HRIS platforms.Understanding of confidentiality and ability to handle PII.Ability to multi-task and prioritize projects effectively.Additional Skills & QualificationsA high school diploma or GED; Bachelor's degree in Human Resources, Business Administration, or related field is preferred.Bilingual skills, especially Japanese speaking, to support the president.Experience in data entry, report generation, and familiarity with online recruitment tools.Sound planning and organizational skills with attention to detail.Ability to work effectively with minimum supervision.Work Environment
This role is based in a climate-controlled office environment. Occasionally, the position may require exposure to manufacturing areas where personal protective equipment such as safety glasses, hearing protection, and safety shoes are necessary. Pay and BenefitsThe pay range for this position is $20.00 - $24.00/hr.
