Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to join our team in Seven Hills, Ohio. This is a Contract to permanent position, offering an excellent opportunity to support senior leadership while contributing to the overall efficiency of the organization. The ideal candidate will excel in administrative tasks, demonstrate attention to detail, and be comfortable working in a fast-paced environment. Responsibilities: • Provide comprehensive administrative support to senior leadership, including scheduling meetings, managing calendars, and preparing correspondence. • Coordinate travel arrangements, including booking flights, accommodations, and handling expense reports through Concur. • Utilize Microsoft Office tools such as Excel, Word, and Smartsheet to create reports, presentations, and perform mail merges. • Serve as the first point of contact at the front desk, greeting visitors courteously and ensuring they are signed in appropriately. • Assist with organizing meetings, including ordering food, preparing materials, and managing logistics. • Maintain accurate records and perform data entry tasks, including v-lookups and other spreadsheet functions. • Support internal teams with conference calls, correspondence, and other communication-related tasks. • Ensure the office environment is welcoming and adheres to business attire standards. • Collaborate with team members to enhance operational efficiency and address ad hoc administrative needs. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Proficiency in Microsoft Office Suite, including Excel, Word, and Smartsheet. • Familiarity with tools such as Concur, ADP, Kronos Timekeeping System, and Cisco Webex Meetings. • Strong organizational skills and attention to detail, including the ability to manage multiple tasks simultaneously. • Excellent communication and interpersonal skills to interact effectively with team members and visitors. • Ability to maintain a detail-oriented demeanor and adapt to a dynamic work environment. • Reliable and punctual, with a commitment to delivering high-quality work. • Experience with calendar management, mail merges, and v-lookups is highly preferred.
