Description We are looking for a detail-oriented and proactive Executive Assistant to provide high-level administrative support to senior leadership in Kansas City, Missouri. In this position, you will play a key role in managing schedules, organizing travel, preparing documents, and ensuring seamless communication across the organization. This role requires exceptional organizational skills, discretion, and a commitment to fostering a collaborative and productive work environment.
Responsibilities:
• Maintain the executive's calendar, scheduling appointments and coordinating meetings to ensure optimal time management.
• Organize and manage travel arrangements, including booking flights, accommodations, and transportation.
• Prepare, edit, and distribute documents and correspondence for internal and external use.
• Screen visitors and calls, directing them to appropriate departments or individuals.
• Order office supplies, manage equipment, and ensure the workspace is clean and well-organized.
• Assist with special projects, research tasks, and data analysis to support decision-making.
• Take meeting minutes, distribute them, and follow up on action items to ensure accountability.
• Champion a positive and collaborative workplace culture aligned with the organization's mission and values.
• Manage office operations, ensuring staff have access to necessary resources for productivity.
• Uphold confidentiality and compliance with company policies and regulatory requirements. Requirements
• Proven experience as an Executive Assistant. 5 years minimum experience.
• Proficiency in tools such as Microsoft 365, Paycor, & basic Quickbooks
• Strong skills in calendar management, conference call coordination, and correspondence.
• Excellent written and verbal communication abilities.
• Ability to prioritize tasks and maintain a high level of accuracy.
• Familiarity with About Time software and other time-tracking tools is a plus.
• Demonstrated ability to handle sensitive information with discretion.
• Knowledge of relevant regulatory requirements and company policies.
