Executive Assistant
Description We are looking for an experienced Executive Assistant to provide high-level administrative support for two C-suite executives within a respected non-profit organization. This long-term contract position is based in Minneapolis, Minnesota, and requires exceptional organizational skills, attention to detail, and a commitment to excellence to manage board communications, donor interactions, and executive schedules. Responsibilities: • Coordinate and manage complex calendars for two C-suite executives, ensuring all appointments and meetings are accurately scheduled. • Prepare and distribute board books, meeting agendas, and other key materials for board meetings. • Take detailed and accurate meeting minutes during board discussions and ensure timely distribution. • Facilitate clear and effective communications with board members, donors, and external stakeholders. • Oversee administrative tasks related to donor interactions, ensuring all correspondence is accurate and error-free. • Utilize CRM systems to maintain accurate records and support donor relations. • Assist in assembling and organizing board packets to ensure seamless preparation for meetings. • Manage expense reports and reimbursements through Concur, maintaining accuracy and compliance. • Provide support for agenda preparation, ensuring all items are well-documented and prioritized. • Collaborate with other administrative staff to ensure smooth operations and provide training as needed. Requirements • Proven experience as an Executive Assistant supporting senior leadership, preferably within a non-profit organization. • Strong proficiency in Microsoft Outlook and other office software applications. • Familiarity with Concur for expense management and CRM systems for record-keeping. • Exceptional written and verbal communication skills, with a focus on professionalism and attention to detail. • Ability to prioritize tasks effectively and manage competing deadlines. • Experience preparing meeting agendas, taking minutes, and organizing board materials. • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. • Strong organizational skills and ability to work independently with minimal supervision.
