Executive Assistant
Description We are looking for a detail-oriented Executive Assistant to support daily operations for two department heads. This contract to hire position is based in Beverly Hills and requires a highly organized individual who can handle sensitive executive tasks, coordinate events, and manage communications effectively. The ideal candidate will have experience in administrative assistance, calendar management, and familiarity with state government processes. Responsibilities: • Perform complex executive secretarial and administrative tasks to support department operations and leadership. • Supervise and review administrative support staff, ensuring tasks are prioritized and completed efficiently. • Act as a liaison between the department, public entities, businesses, and agencies, attending meetings and addressing inquiries as needed. • Prepare, organize, and distribute various documents such as agendas, minutes, reports, and memos, while ensuring accuracy and completeness. • Coordinate departmental events, meetings, and trainings, including scheduling, issuing invitations, and arranging travel. • Maintain office operations by managing schedules, calendars, presentations, and recommending procedural improvements. • Assist with budget preparation, invoice processing, and expenditure monitoring, while maintaining financial records. • Manage incoming correspondence and communications, prioritizing items requiring immediate attention and drafting responses. • Support new staff onboarding by providing training on departmental procedures, office systems, and software. • Foster a positive and collaborative work environment by building strong relationships with colleagues and stakeholders. Requirements • Proven experience in administrative assistance, preferably supporting executives or department heads. • Strong skills in calendar management and event coordination. • Familiarity with state government operations and procedures. • Proficiency in preparing and proofreading documents with attention to detail. • Ability to supervise and guide administrative staff effectively. • Excellent communication skills to interact professionally with diverse stakeholders. • Knowledge of budget preparation and financial recordkeeping. • Proficiency in office software and systems, including document tracking and scheduling tools.
