Executive Assistant
Description We are looking for a dedicated Executive Assistant to provide high-level administrative support and help drive organizational success. Based in the Martinez, CA area, this long-term contract position offers an opportunity to collaborate with leadership, stakeholders, and the community while ensuring smooth operational processes. The ideal candidate will excel at managing communications, organizing events, and supporting policy implementation. This position will involve complex calendaring activities. Executive Assistant Responsibilities: • Assist in the development, implementation, and administration of organizational policies, procedures, and programs. • Prepare, edit, and manage sensitive documents, including technical correspondence, reports, and presentations, while maintaining confidentiality. • Oversee office operations by planning and coordinating activities to ensure compliance with legal and procedural standards. • Conduct research, compile data, and create statistical summaries and reports to support organizational decision-making. • Plan and execute special projects, events, and public communication initiatives to enhance community engagement. • Act as a liaison between leadership, stakeholders, commissions, staff, and community members to facilitate effective communication. • Prepare meeting agendas, take minutes, and transcribe formal documents for organizational records. • Manage supply inventories, purchasing activities, and administrative recordkeeping. • Support recruitment and hiring processes for clerical staff, ensuring efficiency and compliance. Requirements • Proficiency in tools such as ADP Financial Services, Concur, and CRM systems. • Strong skills in calendar management, communication, and coordinating meetings. • Experience handling board presentations, board reporting, and conference calls. • Ability to create and manage correspondence with accuracy and professionalism. • Familiarity with public sector organizations and municipalities. • Demonstrated ability to plan and execute events for internal and community engagement. • Exceptional organizational and multitasking skills to handle diverse administrative tasks. • Proven ability to work collaboratively with leadership and stakeholders.
