Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to provide dedicated support to the School President. This fully onsite role is based in Bronx, New York, and offers the opportunity to work in a dynamic and client-facing environment. This is a Contract to permanent position, requiring flexibility to assist with events outside regular business hours. Responsibilities: • Manage daily schedules and appointments, ensuring optimal calendar organization for the School President. • Coordinate and arrange meetings, including conference calls and virtual sessions using platforms like Cisco Webex. • Oversee correspondence and communication, maintaining professionalism in all client-facing interactions. • Assist with financial services tasks, including ADP and Concur systems. • Handle CRM-related activities to maintain accurate records and streamline operations. • Prepare and organize materials for events, including those occurring outside standard business hours. • Monitor and manage timekeeping systems such as Kronos and About Time. • Support travel arrangements and expense reporting, ensuring all details are accurately recorded. • Act as a liaison between the School President and internal/external stakeholders to facilitate smooth communication. • Provide administrative support for special projects as needed. Requirements • Proven experience in supporting high-level executives, demonstrating professionalism and discretion. • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Strong organizational skills with the ability to manage multiple priorities effectively. • Familiarity with systems such as ADP, Concur, and Kronos Timekeeping. • Excellent communication skills, both written and verbal, for client-facing interactions. • Ability to coordinate meetings and events, including virtual and in-person formats. • Detail-oriented with experience in managing calendars and scheduling. • Flexibility to work outside regular business hours when required.
