Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to join our team on a contract basis in Washington, District of Columbia. In this role, you will provide vital administrative and operational support to senior leadership, ensuring seamless day-to-day operations. Responsibilities: • Manage complex calendars and coordinate meetings, ensuring efficient scheduling and time management. • Prepare and process expense reports accurately and in a timely manner. • Arrange and oversee travel plans, including booking accommodations, transportation, and itineraries. • Draft, review, and manage general correspondence on behalf of executive leadership. • Collaborate with staff to organize and prepare materials for external meetings, including coordinating with the Communications Director on presentations and podcasts. • Maintain and organize SharePoint files for the Executive Office, ensuring easy access and version control. • Provide support for Board of Directors and Executive Committee meetings, including scheduling and documentation. • Coordinate monthly all-staff meetings, ensuring smooth communication and logistics. • Assist with special projects and assignments, delivering high-quality results under tight deadlines. • Conduct research and compile reports or presentations, offering insights and recommendations to leadership. Requirements • Proven experience with calendar management, including scheduling and prioritizing meetings. • Proficiency in expense reporting systems such as Concur. • Familiarity with CRM platforms and other organizational tools. • Exceptional communication skills, both written and verbal. • Demonstrated ability to arrange and manage detailed travel plans. • Strong organizational skills and the ability to handle multiple tasks simultaneously. • Experience supporting board meetings and executive-level committees. • Advanced proficiency in Microsoft Office Suite, including SharePoint.
