Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership in New York, New York. This role requires exceptional multitasking abilities, a keen attention to detail, and familiarity with tools and systems commonly used in financial services. This is a hybrid position, requiring three days per week in the office, and is offered as a long-term contract opportunity.
Responsibilities:
• Manage complex calendars, ensuring all meetings, appointments, and travel arrangements are scheduled efficiently.
• Coordinate and facilitate conference calls, virtual meetings, and in-person events using platforms like Cisco Webex Meetings.
• Prepare and manage correspondence, reports, and other documents with a high level of accuracy and professionalism.
• Oversee expense reporting and reconciliation through systems such as Concur.
• Maintain and update CRM systems to ensure accurate and up-to-date client and business information.
• Assist with timekeeping and payroll tasks using tools like Kronos and About Time.
• Serve as the primary point of communication for executives, handling inquiries and relaying messages promptly.
• Plan and execute travel itineraries, including booking flights, accommodations, and ground transportation.
• Support the team in managing deadlines and prioritizing tasks to ensure smooth daily operations. Requirements • Proven experience as an Executive Assistant or in a similar role, ideally within the financial services industry.
• Proficiency in tools such as Concur, Cisco Webex Meetings, and CRM systems.
• Strong organizational and time management skills, with the ability to handle multiple priorities effectively.
• Excellent written and verbal communication skills, with a detail-oriented approach and significant experience in the field.
• Familiarity with timekeeping systems like Kronos or About Time is preferred.
• Demonstrated ability to manage confidential information with discretion.
• Strong attention to detail and a commitment to accuracy in all tasks.
