Executive Assistant
Description The Executive Assistant will provide high-level administrative support to senior executives, ensuring efficient management of schedules, communication, and business operations. Due to the nature of the role, which involves frequent coordination with local vendors, on-site planning, and face-to-face meetings within the region, Hawaii residency is strongly preferred. In-person support and access to local resources are critical components of the job. Therefore, the role is best suited for candidates who currently reside in Hawaii. Primary Responsibilities: + Manage and maintain executive calendars, scheduling appointments, meetings, and travel arrangements. + Act as the primary point of contact on behalf of the executives, handling correspondence, emails, and inquiries. + Support in preparing presentations, reports, and other documentation as needed. + Coordinate with Hawaii-based vendors, clients, and local partners to ensure timely execution of administrative and business activities. + Organize and plan events, both internal and client-facing, that require local knowledge and on-site management. + Maintain confidentiality of sensitive information and exercise discretion at all times. + Manage expense reports, billing, and other financial documentation. + Perform other administrative duties as required to support the success of the executives and the organization. Requirements Qualifications: + Proven experience as an Executive Assistant or in a similar role supporting senior-level executives. + Strong organizational and time-management skills with the ability to prioritize tasks effectively. + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). + Excellent written and verbal communication skills. + Strong interpersonal skills and the ability to work collaboratively in a team-oriented environment. + Familiarity with Hawaii's local businesses, culture, and geographic regions is highly preferred. + Ability to adapt quickly to changing priorities and maintain composure under pressure. + Bachelor's degree preferred but not required.
