Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to provide exceptional support to senior leadership within a dynamic construction environment. The ideal candidate will excel at managing schedules, coordinating meetings, and ensuring seamless communication across teams. This role requires the ability to handle multiple priorities with attention to detail and a commitment to excellence. Responsibilities: • Manage executive calendars, scheduling appointments, and organizing meetings to ensure efficient time management. • Coordinate and facilitate conference calls, including preparing agendas and documenting key discussion points. • Draft, proofread, and manage correspondence, ensuring clear and precise communication. • Oversee travel arrangements, including booking transportation and accommodations, while managing expense reports through systems like Concur. • Support the preparation of presentations, reports, and other documents as needed. • Maintain and update CRM systems to ensure accurate and timely information. • Monitor and track timekeeping systems such as Kronos to support accurate reporting. • Act as the primary point of contact for internal and external stakeholders, ensuring inquiries are addressed promptly. • Assist in organizing company events, meetings, and workshops to foster collaboration and engagement. • Proactively identify opportunities to improve administrative processes and implement solutions. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Strong proficiency in calendar management and scheduling tools. • Excellent communication skills, both written and verbal. • Familiarity with CRM systems and data management. • Proficient in using tools like Cisco Webex Meetings for virtual collaboration. • Experience with timekeeping systems such as Kronos is a plus. • Highly organized with the ability to manage multiple priorities effectively. • Strong attention to detail and commitment to delivering high-quality work.
