Description
Robert Half is seeking a highly organized, detail-oriented, and proactive Temporary Executive Assistant to support senior executives at a company located in Apple Valley, MN. This on-site position offers a unique opportunity to showcase your administrative skills in a dynamic and fast-paced environment. As the Executive Assistant, you will play a vital role in ensuring the executives’ days run smoothly while maintaining top-notch professionalism and efficiency.
Responsibilities:
+ Calendar Management: Manage high-level scheduling, appointments, and meetings for executives while anticipating potential conflicts and resolving them before they arise.
+ Communication: Handle inbound and outbound communications, including emails and phone calls, ensuring professionalism and confidentiality at all times.
+ Meeting Coordination: Organize and prepare agendas, materials, and logistics for internal and external meetings, including virtual and in-person events.
+ Travel Arrangement: Coordinate domestic and international travel itineraries, including flights, accommodations, transportation, and expense reports.
+ Document Preparation: Draft, edit, and format correspondence, memos, presentations, and other business-critical documentation for executives.
+ Expense Reporting: Prepare and submit accurate expense reports in compliance with company policies.
+ Data Management: Maintain accurate records and databases, ensuring critical information is updated and accessible.
+ Office Support: Assist with various administrative duties to support overall office efficiency, including ordering supplies, managing vendors, and coordinating team requests.
+ Confidentiality: Uphold the highest standards of discretion when dealing with sensitive information and executive-level projects.
Requirements
Qualifications:
+ Proven experience as an Executive Assistant or in a similar high-level administrative role, preferably in a fast-paced corporate environment.
+ Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools.
+ Exceptional organizational skills with a keen ability to prioritize and multitask.
+ Excellent written and verbal communication skills.
+ Demonstrated ability to remain calm and composed under pressure.
+ Detail-oriented and resourceful, with a proactive approach to problem-solving.
+ Ability to maintain discretion and handle confidential information.
+ Reliable transportation to work on-site in Apple Valley, MN.
