Executive Assistant
Description We are looking for an experienced and detail-oriented Executive Assistant to provide advanced administrative support to senior leadership in Layton, Utah. This contract position requires someone who can manage sensitive information, coordinate complex schedules, and ensure compliance with government records management policies. The ideal candidate will thrive in a fast-paced environment and demonstrate exceptional organizational and communication skills. Responsibilities: • Manage and respond to government records requests while ensuring compliance with relevant laws and deadlines. • Prepare, review, and maintain official documents to ensure accuracy and legal compliance. • Coordinate and manage executive calendars, scheduling meetings, and arranging conference calls. • Serve as a liaison between executives, staff, and external stakeholders, fostering clear and effective communication. • Organize and facilitate meetings, including preparing agendas and documenting minutes. • Support department heads by drafting reports, managing correspondence, and maintaining records. • Handle confidential and sensitive information with the utmost professionalism and discretion. • Utilize tools like CRM systems, timekeeping software, and calendar management platforms to streamline processes. • Assist in the preparation and review of financial data using systems like ADP and Concur. • Provide technical and logistical support for virtual meetings using platforms such as Cisco Webex. Requirements • Proven experience in an executive assistant or similar administrative role. • Strong knowledge of records management policies, particularly in government or public sector environments. • Proficiency in tools such as ADP, CRM systems, Concur, and Kronos Timekeeping System. • Expertise in calendar management and scheduling for senior leadership. • Excellent written and verbal communication skills. • Familiarity with virtual meeting platforms, including Cisco Webex. • Exceptional organizational skills with the ability to manage multiple priorities. • High level of professionalism and ability to handle sensitive information with discretion.
