Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to support the President of the organization in East Haven, Connecticut. This is a Contract to permanent position, offering the opportunity to contribute to a dynamic and fast-paced environment while managing a variety of detailed and personal responsibilities. The ideal candidate will excel in calendar management, event coordination, and operational support, all while maintaining the utmost discretion and professionalism. Responsibilities: • Manage the President’s calendar to ensure efficient scheduling and prioritization of tasks. • Coordinate travel arrangements, including booking reservations and organizing itineraries for both business and personal needs. • Plan and oversee the execution of business and private events to ensure seamless operations. • Prepare the President for meetings by gathering relevant materials, drafting documents, and creating itineraries. • Act as an Operations Manager, supervising projects and ensuring effective communication with the team. • Schedule and oversee outside contractors and vendors for home-related projects. • Maintain confidentiality while serving as a trusted confidante to the President. • Anticipate needs and proactively contribute to special projects and events. • Handle vendor payments and ensure all logistical arrangements are completed accurately. Requirements • At least 3 years of experience as a detail-oriented or executive assistant. • Exceptional organizational skills with a strong attention to detail. • Proven ability to manage multiple tasks and deadlines efficiently. • Excellent written and verbal communication skills. • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, SharePoint, Teams, and Adobe Acrobat DC. • Knowledge of QuickBooks is a plus. • Resourceful and adaptable in a fast-paced environment. • Ability to maintain professionalism, integrity, and confidentiality at all times.
