About the Role:
This role combines a professional demeanor, sharp organizational skills, and the ability to stay several steps ahead in assisting executives with all aspects of their day-to-day operations. The ideal candidate will be a resourceful professional who can manage confidential information discreetly, stay calm under pressure, and deliver high-quality work with minimal direction.
Key Responsibilities:
+ Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
+ Prepare high-level documents, reports, presentations, and correspondence on behalf of executives.
+ Act as a liaison between executives and internal/external stakeholders, communicating professionally and promptly.
+ Plan team and executive-level meetings, including coordinating logistics, preparing agendas, and managing follow-ups.
+ Organize and prioritize tasks or communications for executives to ensure deadlines are met.
+ Conduct research and compile data to assist executives in decision-making processes.
+ Handle sensitive and confidential information with discretion.
+ Provide general administrative support, including expense reporting, document management, and office organization.
Requirements
Required Qualifications:
+ Proven experience as an Executive Assistant or in a similar administrative support role.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Excellent written and verbal communication skills.
+ Outstanding organizational skills, with the ability to manage competing priorities effectively.
+ High level of discretion and professionalism when handling sensitive information.
+ Strong attention to detail and accuracy in all tasks.
+ Ability to work independently, anticipate needs, and problem-solve proactively.
Nice-to-Have Qualifications:
+ Experience supporting C-suite executives in a fast-paced environment.
+ Familiarity with project and task management tools such as Asana, Trello, or Monday.com.
+ Knowledge of cloud-based document management systems, such as Google Workspace or SharePoint.
+ Prior experience in industries such as finance, technology, or healthcare.
+ Bachelor’s degree or certification in administrative support, business management, or a related field.
+ Ability to speak multiple languages, depending on international company needs.
