Description We are looking for a skilled and proactive Executive Assistant to provide comprehensive support to the President and ensure the efficient operation of their office. This Contract position is based in Saint Paul, Minnesota, and offers an exciting opportunity to contribute to high-level initiatives and organizational success. The role involves managing schedules, coordinating communications, and serving as a key liaison to the Board of Directors, while ensuring smooth office operations and supporting critical projects.
Responsibilities:
• Manage the President’s calendar, schedule meetings and events, and handle correspondence to ensure seamless communication.
• Prepare agendas, meeting materials, and talking points while maintaining confidentiality and managing sensitive information.
• Coordinate logistics for Board of Directors meetings and Governance Committee activities, including planning events and managing documentation.
• Ensure compliance with organizational bylaws, charters, and policies in all governance-related operations.
• Oversee daily office operations by maintaining supplies, troubleshooting equipment issues, and liaising with building management as needed.
• Process financial transactions such as donations, reimbursements, and payments, while maintaining accurate records and generating reports.
• Support organizational events, including occasional evening or weekend commitments, to ensure successful execution.
• Draft high-level correspondence, speeches, and materials in alignment with the President’s voice and organizational tone.
• Proactively identify and implement operational efficiencies to enhance office functionality and workflow.
• Serve as an information steward by synthesizing data, prioritizing tasks, and advising on strategic actions. Requirements
• A minimum of 4 years’ experience in an executive support role, demonstrating strong organizational and multitasking skills.
• Proficiency in managing calendars, scheduling, and communication tools such as Google Calendar and Microsoft 365 Enterprise.
• Experience with CRM systems and financial transaction processing, ensuring accuracy and attention to detail.
• Strong written and verbal communication skills, with the ability to draft clear and precise correspondence and materials.
• Familiarity with tools like Concur for expense management and Google Workspace for collaboration.
• Proven ability to coordinate and support high-level meetings, including preparing agendas and managing follow-ups.
• Capability to troubleshoot office equipment and address IT-related issues effectively.
• A proactive and resourceful approach to problem-solving and workflow optimization.

• A successful history of providing support to executive leaders and boards and upholding a strict level of confidentiality
• A customer-service mindset and enthusiasm for being the organization’s first point of contact.
• Best-in-class verbal and written communications skills
• The ability to prioritize multiple tasks and meet deadlines with precision and professionalism.
• Advanced proficiency in Microsoft Office, Google Workspace, and other nonprofit software systems.
• Conversational ability in Spanish preferred
