Executive Assistant
Description Provides comprehensive administrative support to the President/CEO and executive leadership, requiring a high level of discretion, confidentiality, and professionalism. Manages day-to-day administrative tasks including answering phones, preparing reports and correspondence, scheduling meetings, taking meeting minutes, posting notices, filing, faxing, copying, and handling incoming and outgoing mail. Ensures all documents are proofread and edited for accuracy in grammar, punctuation, and format. Oversees and coordinates all correspondence for the President/CEO’s office, including emails, written memoranda, reports, and verbal communications. Responsible for scheduling and organizing Board of Directors meetings, including logistics, agendas, notices, and assembling materials using tools such as BoardBook and Microsoft Office Suite. Ensures accurate and timely information flow between the President/CEO, Board Members, and internal departments. Manages the President/CEO’s calendar, appointments, and travel arrangements. Coordinates internal and external meetings, events, tours, and provides necessary materials and amenities. Anticipates the needs of the CEO, ensuring they are informed and prepared for upcoming commitments and responsibilities. Acts as a key liaison between the executive office and staff, Board Members, contractors, and guests, maintaining a friendly and professional demeanor in all communications. Takes initiative on projects, special assignments, and organizational tasks such as policy documentation, meeting logistics, client surveys, and risk management reporting. Supports the Board Chairman and other Board Members with committee work, schedules, and related activities. Demonstrates knowledge of the Open Public Meetings Act, coordinating compliance and documentation as needed. Maintains organized department records and correspondence, periodically auditing and archiving files according to the organization’s record management and retention policies. Tracks pending matters and ensures timely follow-up and completion of tasks under deadline pressure. Supports smooth communication and alignment across departments while upholding credibility and trust. Performs all duties in alignment with the Seattle Convention Center’s mission, Quality Service Program, and emergency preparedness standards. Displays strong judgment, initiative, and a commitment to service excellence in a fast-paced executive environment. Requirements • Proven expertise in calendar management and scheduling for senior executives. • Proficiency in tools such as ADP, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System. • Strong written and verbal communication skills to effectively interact with internal and external stakeholders. • Ability to handle confidential information with professionalism and discretion. • Demonstrated ability to manage multiple priorities and meet deadlines under pressure. • Familiarity with Open Public Meetings Act and experience coordinating board-related activities. • Exceptional organizational skills with a keen eye for detail and accuracy. • Knowledge of emergency preparedness procedures and ability to act calmly during high-pressure situations.
