Executive Assistant
Description We are looking for a dedicated and proactive Executive Assistant to provide comprehensive support to our leadership team in Minneapolis, Minnesota. This long-term contract position requires someone detail oriented who excels in organization, communication, and multitasking while maintaining confidentiality and discretion. Responsibilities: • Manage executive schedules and calendars, coordinating meetings and appointments to ensure optimal time management. • Organize and oversee travel arrangements, including booking flights, accommodations, and transportation for executives. • Prepare, edit, and review correspondence, reports, presentations, and various documents with precision and attention to detail. • Act as the primary liaison with third-party vendors and service providers, ensuring smooth operations and timely deliverables. • Handle administrative tasks such as expense reporting, document management, and other support activities for the leadership team. • Maintain a high level of confidentiality and professionalism when handling sensitive information. • Anticipate the needs of executives and proactively identify solutions to enhance workflow and efficiency. • Coordinate conference calls, team meetings, and other events, ensuring seamless execution. • Build and nurture relationships across organizational levels to facilitate effective communication and collaboration. Requirements • Associate or bachelor’s degree preferred, or equivalent experience in administrative roles. • Minimum of 3-6 years experience as an Executive Assistant or in a similar role, preferably supporting senior executives. • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Google Suite and Dropbox. • Strong organizational and multitasking abilities, with the capacity to prioritize competing demands. • Excellent written and verbal communication skills to ensure clear and effective interactions. • Experience with travel arrangements, vendor coordination, and executive calendar management. • Ability to maintain confidentiality and demonstrate a high level of discretion. • Detail-oriented demeanor with the capability to build rapport across diverse teams and stakeholders.
