Description We are looking for a highly skilled and proactive Executive Assistant to support the Executive Director in Long Beach, California. This contract position involves handling a variety of high-level administrative tasks, managing schedules, and ensuring smooth communication between the Executive Director and internal or external stakeholders. The ideal candidate will be detail-oriented, technologically proficient, and capable of operating with the utmost discretion.
Responsibilities:
• Organize and manage the Executive Director’s calendar, appointments, and daily schedules to ensure efficient time management.
• Coordinate travel arrangements, including itineraries and expense reporting, with precision and attention to detail.
• Draft, proofread, and edit correspondence, reports, and presentations on behalf of the Executive Director.
• Act as a liaison between the Executive Director and internal or external stakeholders, ensuring clear and timely communication.
• Screen and prioritize incoming communications such as calls and emails, responding or redirecting as appropriate.
• Support the planning and execution of strategic projects, tracking progress, and ensuring deadlines are met.
• Conduct research and compile data to prepare reports, proposals, and presentations.
• Manage logistics for high-level events, including board meetings and donor engagements.
• Maintain organized records and documentation for quick and easy retrieval as needed.
• Oversee expense tracking and budget-related activities tied to the Executive Director's initiatives. Requirements • Bachelor’s degree preferred, with at least 3–5 years of experience providing administrative support to senior executives.
• Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
• Familiarity with virtual meeting platforms such as Cisco Webex and Zoom.
• Experience with tools like Concur, CRM systems, and timekeeping applications such as Kronos or About Time.
• Exceptional written and verbal communication skills, with a keen eye for detail.
• High level of professionalism and discretion when handling sensitive information.
