Executive Assistant
Description We are seeking a experienced Executive Assistant to provide top-tier support to the Chief Financial Officer (CFO) in a dynamic and detail-oriented setting. This Contract-to-permanent opportunity is based entirely onsite in Costa Mesa, California. The ideal candidate is highly organized, resourceful, and excels at multitasking in high-pressure environments. Key Responsibilities: Serve as the primary administrative support to the CFO by managing calendars, scheduling meetings, and handling detail oriented correspondence. Ensure an efficient and organized office environment, maintaining the operational flow of daily activities. Field incoming calls, messages, and inquiries, exercising professionalism and discretion in directing communications. Plan and coordinate meetings and events, managing logistics such as scheduling, material preparation, venue booking, and attendee notifications. Oversee the management of office supplies, sourcing cost-effective solutions and forming vendor relationships as needed. Prepare =+ years of experience reports, presentations, and briefs to assist the executive team with strategic decision-making. Maintain a well-structured documentation and filing system, ensuring quick access to important information at all times. Handle end-to-end travel arrangements, including flights, accommodations, and detailed itineraries. Foster collaboration by maintaining positive relationships with internal teams and external stakeholders to support organizational goals. Stay current on office technologies and tools, leveraging them to improve efficiency and productivity. Requirements Proven experience as an Executive Assistant, Senior Executive Assistant, or in a similar administrative role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other business software. Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively. Excellent verbal and written communication skills, including the ability to present ideas clearly and professionally. Familiarity with office management systems and procedures.
