Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to join a team onsite in Hatfield, Pennsylvania. This role is a Contract to permanent position, offering an excellent opportunity to support senior executives and oversee critical administrative functions. The ideal candidate will have extensive experience in calendar management, travel coordination, and expense reporting, along with a strong command of productivity tools. Responsibilities: • Manage and maintain executives' calendars, scheduling appointments, meetings, and conference calls efficiently. • Coordinate domestic and international travel arrangements, ensuring all details are handled seamlessly. • Prepare, process, and track expense reports using tools like NetSuite and Concur. • Act as the first point of contact at the front desk, providing detail-oriented and welcoming support to visitors and staff. • Handle correspondence, draft communications, and respond to inquiries on behalf of executives. • Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. • Utilize Microsoft Office Suite and Teams to create, edit, and share documents and presentations. • Support office operations by ordering supplies, handling mail, and assisting with special projects. • Maintain confidentiality in handling sensitive information and prioritize tasks effectively in a fast-paced environment. • Collaborate with other departments to ensure smooth communication and operational efficiency. Requirements • A minimum of 5 years of experience as an Executive Assistant or in a similar administrative role. • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Teams. • Experience with NetSuite for expense reporting and Concur for travel management. • Strong organizational skills and the ability to manage multiple priorities simultaneously. • Excellent written and verbal communication skills, with attention to detail. • Familiarity with tools like Cisco Webex Meetings and CRM systems is a plus. • Ability to maintain confidentiality and exercise discretion in handling sensitive information. • Previous experience in the healthcare industry is preferred but not required.
