Executive Assistant
Description We are looking for a detail-oriented and proactive Executive Assistant to join our team on a long-term contract basis. This role is based in Washington, District of Columbia, and offers the opportunity to support key operational and administrative functions for a dynamic organization. The ideal candidate will bring strong organizational skills, financial tracking expertise, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities: • Coordinate the acquisition and installation of office equipment, furniture, and supplies while working closely with facilities teams to set up utilities and organize workspaces. • Monitor and manage budgets related to office setup, track expenses, and collaborate with the finance team to ensure all expenditures remain within budget. • Maintain an inventory of office supplies, draft standard operating procedures, and assist in organizing staff training to support efficient daily operations. • Provide regular progress updates to leadership, highlighting key achievements, challenges, and any necessary adjustments to goals or timelines. • Ensure effective communication and collaboration using tools like Slack, Zoom, and Google Suite to support remote and in-person team interactions. • Manage vendor relationships, including processing invoices and ensuring timely payments within budget constraints. • Organize and manage calendars, schedule meetings, and coordinate conference calls to streamline executive workflows. • Assist with correspondence, report preparation, and other administrative tasks to support leadership and project goals. Requirements • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role, ideally with exposure to project-based initiatives or office setup. • Proven ability to manage budgets, track expenses, and handle vendor invoices effectively. • Proficiency with tools such as Fathom (or similar), Google Suite, Slack, and Zoom for remote collaboration. • Strong organizational, project management, and communication skills, with a keen attention to detail. • Availability to commit 20–30 hours per week, with flexibility to attend virtual meetings and prioritize tasks during business hours. • Reliable home office setup with a stable internet connection to support remote work requirements. • Self-driven and adaptable, with the ability to work independently and manage evolving priorities effectively.
