Description
We are looking for a highly organized and proactive Executive Assistant to provide dedicated support to the Dean at UMass Boston’s School for the Environment. This long-term contract position offers an excellent opportunity to work in a dynamic academic environment. The role requires exceptional communication skills, attention to detail, and the ability to handle confidential information with discretion.
Responsibilities:
• Serve as the primary point of contact for the Dean, acting as a spokesperson when needed and liaising with internal and external stakeholders
• Manage and coordinate the Dean’s calendar, including scheduling meetings, organizing appointments, and ensuring all commitments are met
• Assist in planning and executing special events, including managing communications and logistics for departmental activities
• Prepare and maintain confidential records and files, ensuring secure and accurate documentation in both digital and physical formats
• Coordinate meeting logistics, including reserving rooms, arranging catering, and distributing materials as needed
• Monitor and maintain inventory levels for departmental supplies, researching vendors and coordinating orders when required
• Address and resolve conflicts that may arise, investigating issues and escalating them to the Dean as necessary
• Utilize advanced Microsoft Excel and Office Suite skills to create reports, manage data, and support departmental operations
• Provide administrative support to the Assistant Dean as required, ensuring seamless collaboration within the department
• Deliver high-quality customer service by exchanging information, resolving issues, and facilitating departmental functions
Requirements
• Proven experience supporting senior-level executives, preferably in a higher education or academic setting
• Strong proficiency in Microsoft Excel and the full Microsoft Office Suite
• Exceptional organizational skills with the ability to manage multiple priorities and deadlines
• Excellent verbal and written communication skills to interact effectively with diverse stakeholders
• Demonstrated ability to handle sensitive and confidential information with professionalism
• Experience coordinating meetings, events, and other administrative tasks
• Strong problem-solving skills and the ability to address and resolve conflicts independently
• Availability to work onsite in Boston, Massachusetts, with a 37.5-hour workweek
