Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership in a dynamic financial services environment. This is a long-term contract position based in Webster, New York, offering an excellent opportunity to contribute to a fast-paced and collaborative team. The ideal candidate will excel at managing schedules, coordinating communications, and handling confidential information with attention to detail.
Responsibilities:
• Manage and maintain complex executive calendars, ensuring efficient scheduling and prioritization of tasks.
• Coordinate and organize meetings, including preparation of agendas, materials, and handling conference call logistics.
• Handle correspondence and communication on behalf of executives, ensuring timely and thoughtful responses.
• Arrange domestic and international travel plans, including itineraries, accommodations, and transportation.
• Prepare presentations and reports using PowerPoint, ensuring accuracy and high quality.
• Support financial services-related tasks, such as managing expense reports and tracking budgets.
• Utilize systems like ADP and Kronos for accurate timekeeping and payroll-related tasks.
• Assist in planning and executing events, ensuring all details are managed effectively.
• Maintain confidential files and records, ensuring compliance with company policies.
• Collaborate with internal and external stakeholders to streamline communication and ensure alignment. Requirements • Proven experience as an Executive Assistant or in a similar administrative role, preferably in financial services.
• Strong proficiency in calendar management and scheduling tools.
• Excellent communication skills, both written and verbal, with a detail-oriented demeanor.
• Advanced knowledge of Microsoft Office Suite, particularly PowerPoint for creating presentations.
• Experience coordinating travel arrangements, including international itineraries.
• Familiarity with systems like ADP, Kronos, and Concur is highly desirable.
• Strong organizational skills with the ability to manage multiple priorities effectively.
