Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership within the financial services industry. This is a long-term contract position based in Boston, Massachusetts, ideal for someone who excels in managing schedules, coordinating meetings, and ensuring efficient communication across teams. The role offers an excellent opportunity to work in a dynamic environment while contributing to key organizational operations. Responsibilities: • Manage executive calendars, including scheduling meetings, appointments, and conference calls. • Coordinate and facilitate virtual meetings using Cisco Webex, ensuring seamless execution. • Handle travel arrangements and expense reporting through systems like Concur. • Maintain accurate records and oversee timekeeping processes using Kronos. • Draft, review, and respond to correspondence on behalf of executives. • Act as a liaison between senior leadership and other departments, ensuring timely communication. • Support CRM data management and assist in tracking key operational metrics. • Organize and prepare materials for presentations and meetings. • Monitor deadlines and prioritize tasks to ensure smooth workflow. • Provide administrative support for special projects as needed. Requirements • Proven experience as an Executive Assistant, preferably within the financial services industry. • Proficiency in tools such as Cisco Webex Meetings, Concur, and Kronos Timekeeping System. • Strong skills in calendar management and scheduling. • Excellent communication abilities, both written and verbal. • Familiarity with CRM systems and data management. • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. • High level of discretion and professionalism when handling sensitive information. • Strong organizational skills and attention to detail.
