Description We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to senior executives. This is a Contract position based in Denver, Colorado, ideal for someone who excels in multitasking and thrives in a dynamic, fast-paced environment. The role involves managing complex schedules, coordinating travel arrangements, and handling sensitive information with professionalism and discretion.
Responsibilities:
• Coordinate and manage intricate executive calendars, including scheduling, rescheduling, and ensuring seamless communication with relevant stakeholders.
• Organize domestic and international travel plans, create detailed itineraries, and provide ongoing support throughout the duration of trips.
• Oversee meeting logistics, including preparing materials, arranging catering, and ensuring all details are handled efficiently.
• Maintain confidentiality while managing sensitive information, ensuring accuracy and discretion at all times.
• Record meeting minutes, distribute them to attendees, and track follow-up action items to ensure completion.
• Prepare and submit monthly expense reports, reconciling accounts with a high degree of accuracy.
• Assist in the execution of special projects, ensuring timelines and goals are met.
• Facilitate communication across teams by drafting correspondence and managing conference calls as needed. Requirements • Proven experience in managing executive-level calendars and travel arrangements.
• Proficiency in tools such as ADP, Cisco Webex Meetings, Concur, and CRM systems.
• Strong knowledge of timekeeping systems like Kronos and About Time.
• Exceptional organizational and multitasking skills, with a focus on detail and accuracy.
• Excellent written and verbal communication abilities.
• Demonstrated experience in handling confidential information with discretion.
• Familiarity with managing expense reporting and reconciliation processes.
