Executive Assistant
Description We are looking for a proactive and meticulous Executive Assistant to join a non-profit organization based in the Downtown Area. This long-term contract position requires an individual who excels in administrative tasks, organizational management, and communication. The ideal candidate will play a pivotal role in supporting executive operations while ensuring seamless coordination across various platforms. This role will also include a mailing project seeking someone experienced in data entry. Responsibilities: • Organize and maintain electronic filing systems, including uploading and updating files in SharePoint. • Scan and transfer information from physical media to digital formats for streamlined accessibility. • Create and manage filing portals for dept, ensuring all documentation is properly categorized and stored. • Coordinate schedules and appointments, handling calendar management for executives. • Arrange and oversee travel plans, including booking accommodations and transportation. • Prepare and distribute correspondence, maintaining clear and effective communication with internal and external stakeholders. • Facilitate conference calls, ensuring smooth logistics and timely participation. • Perform accurate data entry tasks to maintain up-to-date records and documentation. • Utilize CRM tools to manage client and affiliate information effectively. • Support expense reporting processes using Concur software. Requirements • Proven experience in administrative roles, preferably as an Executive Assistant. • Proficiency in using Microsoft 365, SharePoint, and other digital platforms. • Strong organizational skills with attention to detail and accuracy. • Excellent written and verbal communication abilities. • Familiarity with CRM systems and expense reporting tools like Concur. • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. • Demonstrated expertise in calendar management and scheduling. • Experience coordinating travel arrangements and preparing detailed itineraries.
