Description We are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership within a dynamic financial services organization. This Contract-to-Permanent position is based in New York, New York, and requires someone who excels at managing schedules, coordinating meetings, and overseeing administrative processes. The ideal candidate will bring strong communication skills and a proactive approach to managing executive priorities.
Responsibilities:
• Coordinate and maintain executive calendars, ensuring seamless scheduling and prioritization of meetings and events.
• Prepare and manage correspondence, reports, and presentations for senior leadership.
• Organize and facilitate virtual meetings and conference calls using platforms such as Cisco Webex.
• Oversee travel arrangements and expense reporting using tools like Concur.
• Manage timekeeping systems such as Kronos to ensure accuracy and compliance.
• Act as a liaison between executives and internal teams, fostering clear communication and collaboration.
• Track and update CRM data to support organizational goals and executive decision-making.
• Handle confidential information with discretion and professionalism.
• Support project management tasks and assist in the execution of executive initiatives.
• Ensure timely follow-ups and deliverables for executive requests and tasks. Requirements • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
• Proficiency in ADP and familiarity with financial services operations.
• Strong skills in using Cisco Webex Meetings and other virtual collaboration tools.
• Experience with Concur for expense management and Kronos for timekeeping.
• Excellent organizational and calendar management abilities.
• Effective communication skills, both verbal and written, with attention to detail.
• Familiarity with CRM systems and data tracking.
• Ability to handle sensitive information with a high level of confidentiality. TalentMatch®
