Description
An Executive Assistant (EA) at Robert Half provides high-level administrative support to senior executives, such as Executive Directors (EDs) or other leadership team members. EAs play a critical role in ensuring the smooth day-to-day operations of the executive’s office by managing schedules, coordinating communication, and handling sensitive information with professionalism and confidentiality.
Typical Responsibilities:
Calendar and Schedule Management:
+ Manage and organize executives’ calendars, ensuring efficient time management and prioritization of critical tasks.
+ Schedule and coordinate meetings, appointments, and travel arrangements.
Communication:
+ Act as a point of contact between the executives and internal/external stakeholders.
+ Draft, proofread, and manage emails, reports, presentations, and other correspondence.
+ Screen phone calls and handle inquiries where possible.
Event and Meeting Coordination:
+ Organize executive meetings, including preparing agendas, note-taking, and following up on action items.
+ Plan and coordinate events, travel, and other engagements as required.
Administrative Support:
+ Maintain filing systems, databases, and records for the executive office.
+ Assist with expense reporting, handling invoices, and budget tracking.
+ Ensure compliance with company policies, confidentiality requirements, and data protection standards.
Project Support:
+ Support executives in managing and tracking progress of key projects and initiatives.
+ Perform ad hoc research, data gathering, and analysis to support decision-making.
Requirements
Key Skills and Qualifications:
+ Proven experience as an Executive Assistant or in a similar administrative role.
+ Excellent organizational and multitasking abilities.
+ Outstanding written and verbal communication skills.
+ Proficiency in tools like Microsoft Office Suite (e.g., Word, Excel, Outlook, PowerPoint).
+ Ability to handle sensitive and confidential information with discretion.
+ Strong time management and attention to detail.
