The North American Sort Center (NASC) Engineering Organization is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing team. This role will support the Director for Engineering based out of Bellevue, WA.
This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.
Key job responsibilities
-Time management: effectively utilizing working hours. You will be a detail oriented and organized planner with demonstrated ability to respond effectively and efficiently while maintaining flexibility.
-Calendar management: responsible for all calendar management including setting up and sending invites, prioritization of meetings, advising on availability, tracking attendee lists, conference room booking, AV/VC assistance, OOTO/travel banners, interview coordination, training coordination access, agenda preparation.
-Written communication: ability to communicate clearly in written form - emails, meeting agendas, calendar invites for both internally and externally. Utilizing mechanisms to ensure efficient communication with their leader and key stakeholders across office, field, and remote environment.
-Technical tools and skills: developing new skills that impact team projects or needs
-Travel coordination: proposing and developing domestic and international travel schedule with awareness of time zone, location, and prioritization of meetings
-Business acumen: understanding the business and being able to apply your objectives to the business. Ability to keep the Directors organized, prioritized, and on-time while serving as a "go-to" for all areas of the department.
-Proactive: ability to see around corners and take preemptive actions as needed. You must be skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.
-Business operations: keeping day-to-day operations functioning. You will possess the ability to complete high volumes of tasks with minimal guidance or supervision and deadline sensitivity.
-Expense reconciliation: reconciling work-related charged in a timely manner. Responsible for expense reports/reimbursement and purchase orders for Director. Responsible for printing any financial decks and documents.
-You will support the Directors in maintaining excellent rapport with internal service providers, cross-functionally with other business groups and departments, employing insightful and knowledgeable communications to foster a cooperative and communicative atmosphere.

Our team is diverse, spread across the country, with a blend of experiences, working both in office and on-site field environment. Our partner teams are also spread across the country including Bellevue and Nashville offices, and sort centers.
