Executive Assistant, Corporate Social Responsibility

Comcast NBCUniversal has announced its intent to create a new publicly traded company ('Versant') comprised of most of NBCUniversal's cable television networks, including USA Network, CNBC, MSNBC, Oxygen, E!, SYFY and Golf Channel along with complementary digital assets Fandango, Rotten Tomatoes, GolfNow, GolfPass, and SportsEngine. The well-capitalized company will have significant scale as a pure-play set of assets anchored by leading news, sports and entertainment content. The spin-off is expected to be completed during 2025. The Corporate Social Responsibility team is seeking an Executive Assistant to support two Senior Executives as well as the overall team. Responsibilities: + Provide day to day support to the Executive Vice President and the Senior Vice President + Manage calendars, scheduling, coordinating internal and external meetings, video conferencing, conference calls, and other activities as required + Help keep executives on schedule for meetings + Create agenda for department staff meetings + Coordinate travel agendas and arrangements, remember individual preferences, and create detailed travel itineraries + Complete and submit all expenses through the Concur system for executives + Book conference rooms on the floor and in the building for team meetings and high-volume events  + Process all invoices in SNAP, set up new vendors, and manage all payments to external partners + Manage overall department budget including updating invoice tracker after submitting, processing, completing all invoices and communicating with all external partners to ensure that all verification materials and are completed to submit payment + Ensure charitable giving requirements are met prior to processing payments to nonprofit organizations + Help plan, coordinate, and provide support for major volunteer moments including Season of Service, Service Weeks, and other CSR activities around the company + Coordinate catering for all events and larger team meetings + Track all inventory of swag items for significant events and order items from vendors when supply is running low + Research and assist with additional projects as required + Establish and maintain positive relationships with internal and external partners + Establish and maintain office files, ensuring timely filing of documents + Order and maintain department office supplies + Provide event planning support for both internal and external gatherings, including the annual Creative Impact Lab Summer workshop, CSR industry leader gatherings and annual team onsite meeting Basic Requirements: + Bachelor’s degree or equivalent experience + Proficiency in Microsoft Office suite of tools, PowerPoint, Canva and Excel + 5+ years of experience in an Executive Assistant or equivalent role, supporting Senior Level Executives + Ability to successfully multi-task and meet deadlines + Willingness to work overtime Desired Characteristics: + Demonstrates exceptional communication skills and has strong executive presence + Possess strong interpersonal skills with the ability to communicate effectively with all levels within the organization + High level of integrity and the ability to always maintain confidentiality + Proven ability to thrive in a dynamic, fast-paced, deadline-driven media environment + Be flexible, dependable, and results-oriented + Team player who is flexible and adaptable to changing needs and different personalities + Solid attention to detail and follow-up + Extremely organized and efficient + Prior experience managing a budget + Interest in CSR is a plus, but not required Hybrid: This position has been designated as hybrid, generally contributing from the New York, NY office four days per week.  This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
