The AWS Global Communications team is seeking a lead Executive Assistant (EA) to provide dedicated, high-level administrative and strategic support to the Director of Global Communications, a direct report to the SVP of Communications and Corporate Responsibility of Amazon. This critical role requires strong organizational skills, excellent judgment, attention to detail, and the ability to prioritize competing demands while maintaining a strong bias for action.
You will serve as the gatekeeper between the Director and internal/external stakeholders, ensuring seamless communication. The role involves frequent interaction with business and technology leaders, support teams, and EAs at the highest levels of the company. Given the direct line to senior leaders, this role demands someone who can operate with minimal guidance, anticipate needs, and represent the Director's office with executive presence and precision.
Location: Seattle, WA (United States)
Office Requirement: Five (5) days per week in office.
Key job responsibilities
- Independently own and optimize a complex executive calendar across multiple time zones; make judgment calls on prioritization, proactively protect focus time, and anticipate scheduling needs based on business cadence and leadership priorities.
- Serve as a trusted proxy; independently triage and respond to requests, manage sensitive communications with discretion, and build strong relationships with internal and external stakeholders at all levels.
- Coordinate domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries as appropriate. Manage expense reconciliation and tracking in compliance with Amazon policies.
- Own recurring operational mechanisms (e.g., team meetings, business reviews, org-wide communications) end-to-end; identify inefficiencies and implement process improvements, making smart use of AI tools.
- Organize and manage meetings, off-sites, reviews, and large-scale events, including team-building activities, annual planning, and performance reviews.
- Work closely with the team program manager to drive cross-organizational projects, resolving escalations and balancing short-term needs against long-term goals.
- Maintain workspace planning including space and seating assignments; proactively identify gaps, advocate, and drive solutions that benefit the broader team.
- Actively mentor junior EAs through onboarding support, hands-on coaching, creation of training resources and standard operating procedures (SOPs), and identify stretch opportunities to foster growth.
