Executive Administrative Assistant (Remote)

What you will do

As an Executive Administrative Assistant, you will provide support to the Vice President of Manufacturing and the Vice President of Lean in all aspects of supporting executive functions in a global organization. The responsibilities require independent judgment, initiative, and executive intuition in supporting the needs of an executive in their team, while demonstrating adaptability and problem-solving as part of office management. In this role, you will also:

Manage executive calendars, prioritizing meeting logistics and optimizing daily schedulesPartner closely with functional leaders to manage schedule, department budget, and headcount reconciliation, providing expert communication and logistical coordination for leadersPrioritize incoming requests, escalating urgent items and delegating tasks where neededCommunicate with Executive staff and all levels of personnel inside and outside the company to gather and convey information pertaining to executive’s office and responsibilitiesLead scheduling, logistics, calendar management, expenses and travel, and execution of global calls, employee events, leadership and team meetingsCollaborate with marketing or communications to support content for leadership presentation delivery, videos, and newslettersManage event projects, including production materials, catering, travel, facilitator scheduling, and coordination of local resources for onsite eventsMaintain detailed record of information in fast-paced environment, and exercise discretion and professionalism in operations and communications across the business

What you need

Required

High School Diploma or GED/equivalentAt least 5 years of experience in executive support, office administration, or equivalent functionProficiency with Microsoft Office (Outlook, Teams, Word, Excel, and PowerPoint)

Preferred

Associates Degree in Business Administration or other relevant fieldExperience supporting senior leadership or individual(s) in an executive function; preferred across multiple time zonesExperience proofreading, editing, or preparing executive-level documentsExperience with calendar management, including logistical coordination for both domestic and international travelPreference for candidates commutable to Salt Lake City

$31.92-58.35 per hour plus bonus eligible + benefits. Individual pay is based on skills, experience, and other relevant factors.

Travel Percentage: 10%
