Key Responsibilities

Executive Support & Office Management
• Manage complex executive calendars, meeting logistics, and daily scheduling priorities.
• Coordinate domestic and international travel, prepare detailed itineraries, and maintain required documents (visas, passports, badges).
• Serve as the primary liaison for internal and external stakeholders, representing Trane Technologies with professionalism and discretion.
• Oversee office operations for designated teams, including equipment orders, seating assignments, supplies, floorplans, and visitor registration.

Documentation, Reporting & Compliance
• Prepare, review, and route documents for signature; ensure accuracy, completeness, and compliance with company standards.
• Create and maintain department files, reports, presentations, and SharePoint/OneDrive content.
• Support quarterly business reviews, town halls, and other recurring reporting cycles, including slide deck preparation.
• Manage all team purchase orders, P‑Card activities, expense reporting, invoice processing, and procurement tasks including supplier setup and navigation of procurement systems.

Event, Meeting & Conference Coordination
• Plan and execute events, including team meetings, leadership meetings, volunteer activities, and site events.
• Lead logistics for large internal and external meetings and customer events partnering with Meeting Services, AV, catering, facilities, etc.
• Provide on‑site support for SLT Quarterly Meetings and other key engagements.
• Prepare agendas, take meeting minutes, organize materials, and ensure rooms and technology are properly arranged.

Onboarding Support
• Coordinate onboarding for new hires, including workspace setup, IT equipment, orientation on administrative processes, and system access.
• Train leaders and team members on new applications and administrative tools as applicable.

Communication & Customer Support
• Schedule and host meetings related to executive leader communications standard work, town halls and business unit development series.

• Manage distribution lists, share team updates, and support communication flow across stakeholders.
• Send reminders for invoice approvals, document signatures, and other actions required by leaders.
• Handle customer complaints received by mail and route them appropriately.

Qualifications
• Minimum 7 years of executive administrative support experience; bachelor’s degree preferred.
• Highly proficient in Microsoft Teams, Outlook, Word, Excel, PowerPoint, and collaboration platforms.
• Strong planning, organizational, and event‑coordination skills with exceptional attention to detail.
• Demonstrated ability to communicate effectively at all levels of the organization.
• Ability to work independently, prioritize multiple tasks, and perform under tight deadlines.
• Adaptable, flexible, and able to support extended hours when required.
• Proven ability to handle confidential information with professionalism.
• Experience with Oracle, Windchill, Coupa, or similar systems preferred.

Annual Base Salary Range or Hourly Base Pay Range:

$56,800.00 - $101,570.00
