Position Summary
The Legal Executive Administrative Assistant is a key position that provides daily support in supporting their Leader to assist in accomplishing the key Company goals and initiatives by providing several forms of high-level support to Executives and across the organization. The Legal Executive Administrative Assistant performs work in a fast-paced environment, and must multi-task, treat confidential data and information with complete discretion, and exercise cross-functional and project management skills on a daily basis.
Job Duties/Responsibilities
Provides administrative support to senior level executive, professionally representing the executive and the companyMaintains business correspondence, including phone, regular mail and e-mailsCoordinates the Executive's calendar and independently schedules appointmentsScreens incoming calls and correspondence and responds independently when possibleCoordinates meetings, programs, and events by arranging for facilities and caterer, issuing information or invitations, coordinating logistics and event budgetPrepares documents such as agendas, notices, minutes for meetingsCreates and maintains database and spreadsheet files and acts as custodian of documents and recordsArranges travel plans, itineraries, and compiles documents for travel-related meetingsPrepares expense reports and manages overall department budgetPrepares confidential correspondence, reports, and other documentsTracks department paid time off requestsAssists with the new hire process, including correspondence with HR and scheduling interviewsLegal invoice managementManages various ongoing projects as neededComplete other duties and projects, as assignedMinimum Required Qualifications
