The Executive Administrative Assistant provides administrative support specifically a C-level executive. They will require in-depth knowledge of company operations, policies, and procedures. The responsibilities will include collection and preparation of information for use in discussions/meetings of executive staff and outside individuals. In addition, the assistant will prepare presentation materials for board of director or investor meetings. The assistant makes high level contacts of a sensitive nature inside and outside the company.
This high-level position requires a strategic thinker with impeccable discretion, superior organizational skills, and the ability to anticipate needs before they arise. The ideal candidate will be a consummate professional, adept at managing complex situations and interfacing with all levels within the organization.
Key Responsibilities:
+ Serve as the primary point of contact for internal and external communications on behalf of the executive
+ Manage a complex and dynamic calendar, including prioritizing critical meetings and engagements
+ Coordinate domestic and international travel, ensuring flawless execution
+ Prepare and edit correspondence, presentations, and reports
+ Organize meetings, employee celebrations, and strategic planning sessions
+ Manage confidential and sensitive information with the utmost discretion
+ Oversee special projects and initiatives as needed
+ Act as a liaison between the executive and other C-suite members, and key stakeholders
+ Coordinate office area and maintain a professional working environment
+ Plan and executive events and meetings for leadership team
+ Anticipate the executive's needs and proactively resolve potential issues

**Minimum Requirements:**
+ High School diploma/GED
+ 10 years of experience supporting C-level executives in a fast-paced corporate environment
+ Expert proficiency in Microsoft Office Suite, with advanced skills in Outlook, PowerPoint and Excel
+ 5 years of experience coordinating international & domestic travel for leaders
+ Strong project management skills
**Preferred qualifications:**
+ Bachelors degree preferred
+ Exceptional written and verbal communication skills
+ Superior problem-solving abilities and strategic thinking skills
+ Ability to maintain the highest level of confidentiality and professionalism
+ Demonstrated ability to work effectively under pressure and meet tight deadlines
+ Strong leadership skills with the ability to influence and collaborate at all levels
+ Flexibility to work extended hours as needed
