Executive Administrative Assistant 3

The Executive Administrative Assistant provides high-level administrative support by conducting research, handling information requests, and performing clerical functions. This role acts as an information and communication manager for the office.

Responsibilities

Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.Prepare invoices, reports, memos, letters, financial statements, and other documents.File and retrieve corporate documents, records, and reports.Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.Prepare agendas and make arrangements for committee, board, and other meetings.Support two General Managers and their organizations, totaling around 75 employees, by providing high-level administrative and operational support.Manage calendars for two General Managers, handle expense management, and support new employee onboarding.Provide day-to-day operational support, including proactive issue identification and morale support.Support fast-paced teams within Azure AI and Modern Work Security organizations.

Essential Skills

5-7+ years of experience supporting leaders (GM-level preferred).Proven experience managing multiple executive calendars simultaneously.Strong skills in Excel, Word, and PowerPoint.Demonstrated ability to anticipate issues, manage ambiguity, and think on their feet.Excellent verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.Ability to work independently, manage time effectively, and keep information organized and confidential.Basic mentoring skills necessary to provide support and constructive performance feedback.Proficiency with computer applications, such as Microsoft Word, Excel, and PowerPoint.

Additional Skills & Qualifications

High school diploma or GED required.Experience working with executives highly preferred.

Work Environment

This position is based in Redmond, WA, with a hybrid work schedule requiring three days per week onsite. The standard workweek is Monday through Friday, totaling 40 hours, with some overtime expected. The role offers a chance for extension through the full 18-month assignment term. A standard equipment setup will be provided by the supplier.

Pay and Benefits

The pay range for this position is $40.00 - $45.00/hr.
