An Operations Secretary coordinates administrative tasks and projects within the Operations team, offering admin support to the Operations team while completing projects for the Director of Operations and team in adherence to Hilton policies and procedures.

What will I be doing?
\n\nAs the Operations Secretary, you will be responsible for performing the following tasks to the highest standards:
\n\n\n\tArrange appointments and meetings for the General Manager, marking it in the calendar accurately and ensuring that the General Manager has the appropriate documents for each appointment. \n\tAttend and take minutes of meetings such as the Department Head Meeting, Executive Committee Meeting and others when requested. \n\tReceive visitors and guests in the absence of the General Manager, answering questions and concerns as well as following through with resolutions. \n\tArrange room and restaurant reservations for VIP guests / personnel if requested. \n\tArrange and coordinate the General Manager's schedule, keeping him on track for appointments. \n\tAssist the Director of Operations in compiling guests’ data to be used for service quality improvement. \n\tAssess and organize personal work priorities and assist with organizing the General Manager’s work priorities where possible. \n\tAnswer calls in the Executive Office. \n\tAssist the Director of Operations in preparing files, reports, letters, memorandums and other relevant business documentation. \n\tFile and record all business documents as required. \n\tAssist with oral and written translations. \n\tMaintain confidentiality at all times on all matters. \n\tDemonstrate essential overall knowledge of the organization. \n\tUnderstand the responsibilities of other sections and departments and cooperate with them. \n\tAdhere to the hotel’s security and emergency policies and procedures. \n\tDemonstrate professional attitude and behavior at all times. \n\tPrepare and maintain files, reports, letters, memorandums and other relevant business documentation. \n\tEnsure all reporting and servicing deadlines are met on a timely basis. \n\tMaintain an accurate tracking system for prompt handling of issues concerned. \n\tOrder and maintain office supplies. \n\tMaintain personal presentation to the hotel’s standards. \n\tEffectively support the department's administrative operations and take action when necessary to ensure that service is not disrupted. \n\tAdhere to the team members’ handbook, hotel’s code of conduct, policies and procedures. \n\tEnsure that all safety and hygiene procedures are followed. \n\tThe Management reserves the right to make changes to this job description at its sole discretion and without advance notice. \n\tCarry out any other reasonable duties and responsibilities as assigned. \nWhat are we looking for?
