We are looking for a creative, confident and service-minded individual to help deliver high quality meeting and events for a global client. The Event Coordinator is part of our events operations team and serves as the primary contact for the client’s larger and more complex meetings and events. As our Event Coordinator you will be the to go to person for planning and executing the client’s most important and complex meetings and events. You will be working closely with stakeholders, vendors and internal teams to make sure everything runs smoothly, from the first idea to the final applause. This role collaborates closely with the local client and key stakeholders to create and deliver successful events and meetings, fostering lasting relationships while providing high quality service. You will be working onsite with a globally renowned tech client at their headquarters. Working hours are 40 hours per week, Monday - Friday, during regular business hours or as directed by the client. **Key Responsibilities:** •Plan and organize all aspects of client’s event and meetings within scope and budget. •Make sure every event runs smoothly and exceeds expectations. •Coordinate exclusive dining experiences at the client’s internal executive restaurant. •Build and maintain strong relationships with stakeholders and become their trusted advisor. •Find creative solutions to unique meeting needs and challenges. •Collaborate with stakeholders, colleagues and other functions to jointly create an efficient, safe and experience focused events •Maximize meeting space usage through smart planning and scheduling •Work proactively, anticipate needs and operational challenges and keep things moving forward in a positive manner. •Be present at the start of each meeting, supporting organizers and ensuring a smooth experience. •Gather feedback to continuously improve service and event impact. •Be the to go to person connecting the organizers and our event vendors, such as catering, audio visual and technical support •Handle issues with confidence and professionalism, always aiming for a great guest experience •Ensure that all relevant operational policies and procedures are followed as set by their manager and the client. •Ensure all events comply with all relevant QHSE regulations and company standards, including risk assessments, incidents reporting and corrective actions. **Experience Required:** •Minimum of 2 – 5 year event planning experience or similar operational roles. •Swedish gymansium education or equivalent. •A warm, approachable personality and a collaborative mindset. •Proven ability to manage muliple events with attention to detail. •Confidence in communicating with diverse stakeholders and building trust quickly. •A sense of urgency and calm under pressure, ready to tackle last minute changes. •Strong problem-solving skulls and logistical thinking. •Comfortable being on your feet and moving thoughout the day •Skilled in customer communication, Microsoft Office, mobile technologies, and event management systems and processes •Fluent in Swedish and English, both verbal and written is required.
