Summary/Objective:
We are seeking a detail-oriented and proactive Events Coordinator to plan, organize, and execute events across Rutter’s stores, community initiatives, and bars, with a strong emphasis on sports bar activities. This role will oversee the full event lifecycle—from concept development and scheduling to seamless execution—while collaborating closely with internal teams and external vendors. The ideal candidate thrives in a fast-paced environment, brings proven event coordination experience, and has a strong understanding of bar and sports culture to deliver engaging, memorable experiences for our customers.
Responsibilities:
Develop comprehensive event plans, including timelines, budgets, and logistical requirements for Rutter’s events.Schedule and coordinate all event activities, ensuring seamless integration with corporate, store, and bar operations.Collaborate with internal stakeholders (marketing, operations, bar staff) to align objectives and requirements.Build and maintain strong relationships with vendors, entertainers, and sponsors to negotiate services, secure favorable terms, and ensure high-quality delivery. Oversee all aspects of vendor management—including contracts, deliveries, equipment rentals, and on-site setup/breakdown (as needed)—to support seamless event execution.Serve as the primary liaison between vendors and internal teams, ensuring seamless coordination across all event phases. Facilitate clear, timely communication before, during, and after each event to keep all parties aligned and informed, supporting smooth execution and strong collaboration.Maintain event calendars and ensure timely communication of details to all relevant parties.Partner with the marketing team to develop and execute comprehensive event promotion strategies across multiple channels—including social media, email campaigns, onsite signage, and other marketing platforms—to maximize visibility, attendance, and customer engagement.Oversee on-site event execution (as needed), ensuring all logistics run smoothly from start to finish.Collect and analyze post-event feedback and metrics to enhance future events and customer experiences.Utilize a strong understanding of bar and sports culture to design and deliver engaging, bar-centric events—including game nights, sports viewing parties, themed promotions, and interactive experiences—that drive customer engagement, increase traffic, and create a lively, memorable atmosphere.Preferred Education and Experience:
Bachelor’s degree (preferred).2–5 years of marketing experience (preferred).Demonstrated experience in, or strong understanding of, bar and sports culture.Proven event coordination and vendor management skills with exceptional attention to detail.Strong communication, collaboration, and organizational abilities.Ability to multitask and manage multiple events simultaneously in a fast-paced environment.Experience purchasing local and regional TV, radio, and digital media (a plus).Social media experience (desirable).Strong knowledge of the marketplace and industry trends.Excellent negotiation, problem-solving, critical thinking, organizational, and interpersonal skills.Proactive, flexible, and customer-focused mindset.This role provides a unique opportunity to shape the customer experience in a vibrant, fast-paced environment while collaborating with an enthusiastic team committed to delivering exceptional events.
