The Events Coordinator will provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. This role acts as an information and communication manager within the organization.
ResponsibilitiesPerform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.Prepare invoices, reports, memos, letters, financial statements, and other documents.File and retrieve corporate documents, records, and reports.Open, sort, and distribute incoming correspondence, including faxes and emails.Prepare responses to correspondence containing routine inquiries.Collaborate with regional sales leads to improve customer experience and consistency across briefing centers.Work closely with project sponsors and cross-functional teams to plan and develop scope, goals, deliverables, required resources, work plan, budget, and timing for new executive briefing initiatives.Drive promotion of Executive Briefing programs to sales leadership and regional sales team.Coordinate with cross-functional team members to ensure project requirements, deadlines, and schedules are met.Establish and execute effective project communication plans.Measure program success using quantitative and qualitative data analysis and report outcomes to sales and executive leadership.Develop and run enablement sessions with the sales team to help new hires understand the value and benefit of these programs.Support program development in new markets and regions by driving experiments to test regional adoption.Proactively identify, flag, and mitigate program risks.Essential SkillsEvent planningEvent coordinationProject managementEvent managementAdministrative supportCalendar managementData entry5-7 years of experienceAbility to ramp up on new tools quicklyStrong collaboration skillsSelf-starterAdditional Skills & QualificationsBackground in events, sales, customer support, marketing, administrative, or customer-facing roles is beneficial.Strong verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.Ability to work independently and manage time effectively.Ability to keep information organized and confidential.Previous experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.High school diploma or GED required.Work EnvironmentThe position is remote with a preference for candidates in the PST or MST time zones. The schedule is Monday through Friday with standard core hours of 40 hours per week. There may be potential travel twice a year. The contract is for 18 months, dependent on budget and performance, with equipment provided by the employer.
