Event Systems Specialist

Facilities Management at the University of Virginia (UVA) is seeking an Event Systems Specialist to join the Central Scheduling Support Service Team. This position will play a key role in university-wide analysis of event planning needs, training the university community on event planning guidelines and best practices, as well as providing application support to CollegeNET 25Live users, in collaboration with the Event Management Systems Analyst. This new position in the new Central Event Support Services Team offers an exciting opportunity to influence the future of event planning at the University of Virginia and empower the university community to host successful, safe, and impactful events. 

UVA Facilities Management supports the University of Virginia’s wide range of research, academic and patient care programs. With 1,200 employees, Facilities Management is responsible for the day-to-day operation, repair and maintenance of UVA’s buildings, infrastructure and grounds as well as other University-owned and leased properties. Responsibilities: 

Collaborate in the development and maintenance of central office processes, procedures, and workflows

Assist EMSA with researching and recommending best practices for event planning within a higher education environment 

Collaborate with stakeholders to elicit their event scheduling requirements and document them per UVA guidelines and practices

Assist EMSA in proactively monitoring upcoming 25live enhancements and features  

Participate in the implementation of new features and enhancements  

Provide first-line technical support to 25Live users, via phone, email, and chat to address inquiries, troubleshoot, and resolve issues promptly and effectively, escalating as needed

Assist users with navigating the 25Live platform  

Provide guidance on event planning policies, guidelines, and procedures  

Assist with development of content such as release notes and FAQs for keeping the central office web site content current  

Assist with ensuring central office web site is current with changes in university policies and procedures

Attend CollegeNET Series 25 training  

Assist in the development and delivery of training materials and resources for event organizers using 25Live  

Assist in the development and delivery of training on university-wide event planning policies, guidelines, and procedures

Keep event scheduling training materials current with system updates and changes in university policies and procedures  

In addition to the above job responsibilities, other duties may be assigned

Required Qualifications: 

Bachelor's degree in Computer Science, MIS, Computer Engineering or related discipline 

At least one year of experience. Relevant experience may be considered in lieu of a degree

Demonstrated experience in business analysis, technical support, and training, preferably in a higher education and/or event planning environment  

Experience supporting end-users  

Experience with delivering training programs  

Customer-centric approach  

Good communication, interpersonal, and presentation skills  

Good analytical and problem-solving skills  

Ability to work effectively both independently and as part of a team

Preferred Qualifications: 

Bachelor's degree in a related field (Business Administration, Information Systems, Hospitality Management, preferred) or equivalent practical experience

Minimum 3 years experience, including at least 1 year in Business Analysis

Experience working in higher education  

Good understanding of event planning processes and best practices

Experience with 25Live or other event management system  

Experience with change management  

Experience integrating space information with other enterprise information systems is preferred

Preferred Computer Applications: 

CollegeNET Series 25/25Live  

Compensation: 

The minimum starting salary for the Event Systems Specialist is $65,000; actual starting salary will be commensurate with experience. This is a full-time position with UVA benefits. Employee benefits package highlights include:

Physical Demands:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
