Key Responsibilities
Event Planning & Coordination
Plan and manage logistical services for small to medium-sized events from A to Z.
Oversee preparation tasks and ensure smooth delivery of in-person events.
Supervise multiple event projects simultaneously with a structured and proactive approach.
Maintain regular contact with clients, primarily EU institutions.
Vendor & Stakeholder Communication
Source and coordinate with service providers and suppliers.
Set up vendors and manage purchase orders (POs).
Collaborate with internal teams including communications, creative, and production.
Registration & Travel Management
Set up and manage online registration platforms (e.g. CVENT, B2Match, Swoogo).
Coordinate travel and accommodation logistics for participants.
Online & Hybrid Event Delivery
Organize technical tests, briefings, rehearsals, and show calling for virtual/hybrid events.
Operate online event tools such as Zoom, Webex, MS Teams, Interactio, and Sli.do.
What We’re Looking For
2–3 years in event organization within a communications-focused environment, ideally involving EU institutions.
Strong organizational and multitasking abilities.
Excellent communication and teamwork.
Attention to detail and commitment to high-quality delivery.
Client-oriented, professional, and responsive.
Passionate about institutional communication and impactful events.
Familiarity with registration and badging platforms (CVENT, SWOOGO, B2Match).
Experience with virtual event tools (Zoom, Webex, MS Teams, Interactio, Sli.do).
Commitment to cost-efficient, inclusive, gender-balanced, and environmentally sustainable events.
Curiosity about how AI tools can enhance event planning and delivery.
Fluent in English and French or Dutch. Additional languages (e.g. German, Spanish) are a plus.
University degree in a relevant field.
