About the RoleWe are seeking a detail‑oriented and highly organized Tax/CPA Administrative Assistant to support a busy tax and accounting team. This role is ideal for someone who thrives in a structured environment, enjoys working with financial documents, and is eager to grow within the tax and accounting field. You will play a key part in ensuring smooth operations during tax season and year‑round.
Key ResponsibilitiesDocument ManagementOrganize, scan, and maintain client documents such as W‑2s, 1099s, and financial statements.Manage both physical and electronic filing systems with accuracy and audit readiness in mind.Ensure all documentation is complete, properly labeled, and stored securely.Tax Return Processing SupportAssist with assembling, collating, and processing individual, corporate, and partnership tax returns and extensions.Perform data entry into tax software (e.g., CCH Axcess, Lacerte, ProConnect).Coordinate electronic filing and track submission statuses.Client Communication & ServiceServe as a primary point of contact for clients, answering basic questions and managing incoming documents via client portals.Follow up on missing information and maintain clear, professional communication.Handle correspondence with tax authorities, including the IRS and state revenue departments.General Administrative SupportManage calendars, schedule meetings, and coordinate internal appointments.Process incoming and outgoing mail, including certified mail and FedEx shipments.Order office supplies and prepare professional correspondence, forms, and reports.Workflow & Deadline CoordinationUpdate and monitor tax project statuses in workflow systems.Ensure deadlines are met, especially during peak tax seasons.Support the team in maintaining an efficient and organized work environment.Skills & QualificationsRequired SkillsStrong administrative and organizational skillsProficiency in Microsoft Excel and Microsoft Office SuiteBasic understanding of tax compliance processesExcellent customer service and communication abilitiesComfort working with spreadsheets, portals, and digital filing systemsJob Type & Location
This is a Contract to Hire position based out of New York, NY.
Pay and BenefitsThe pay range for this position is $20.00 - $25.00/hr.
