Reporting to the Director of Engineering and Assistant Director of Engineering, the Engineering Administrative Assistant provides comprehensive administrative and operational support to the Engineering team. This role ensures the smooth and efficient running of the engineering office while also assisting with coordination of maintenance activities and occasional hands-on support in the workshop.
Key Responsibilities:
+ Provide day-to-day administrative support to the Engineering department
+ Answer and manage incoming telephone calls, emails, and correspondence
+ Process invoices, track expenses, and maintain accurate records
+ Monitor and maintain appropriate stock levels of engineering supplies Conduct monthly inventory of supplies
+ Order materials, tools, and store items in a timely and cost-effective manner
+ Maintain organized filing systems (digital and physical)
+ Coordinate with suppliers, vendors, and contractors regarding orders and services
+ Assist with scheduling maintenance tasks and tracking work orders
+ Support compliance with safety and operational procedures
+ Input and monitor Emaint work order system
+ Spend time outside the office assisting the engineering team in the workshop as needed
+ Perform other administrative and operational duties as assigned
**Qualifications:**
+ A genuine desire to meet and exceed the needs of internal and external stakeholders
+ Previous administrative experience required; hotel or hospitality experience preferred
+ Strong interpersonal and communication skills, with confidence interacting with suppliers and contractors via phone, email, and in person
+ Proficiency in Microsoft Office Suite (especially Excel), email systems, and procurement software
+ Excellent attention to detail and strong organizational skills
+ Effective time management with the ability to prioritize and multitask in a fast-paced environment
+ Ability to work independently as well as collaboratively within a team
+ Flexible availability to support operational needs
**Work Environment**
+ Combination of office-based administrative work and occasional hands-on support in engineering/workshop areas
+ May require standing, walking, or light physical activity when assisting the team
