Engineering Administrative Assistant
Actalent is hiring an Engineering Administrative Assistant in Lone Tree!

Job Description

In this role, you will support engineering teams throughout the company in their daily operations. You will manage calendars, create and maintain complex spreadsheets, format engineering reports, prepare permit applications, and develop document templates for engineering teams. Expertise in Bluebeam and Smartsheet is essential to support multiple projects effectively.

ResponsibilitiesProvide comprehensive administrative support in partnership with department directors, managers, staff, and project support specialists.Coordinate meetings and events, including scheduling, facilitating attendance, booking conference rooms, arranging catering, and compiling necessary documentation.Create, edit, and format various documents such as reports, memos, presentations, and correspondence, ensuring accurate and up-to-date records.Utilize Bluebeam PDF Editor to compile large document packages and format them appropriately.Develop matrices and workspaces for new projects in Smartsheet, requiring extensive knowledge of formulas, automation, workspaces, reports, dashboards, and group permissions.Maintain and organize SharePoint pages and folders, ensuring program documents are formatted and updated as needed.Serve as a central point of contact for internal and external stakeholders, managing inquiries and emails to ensure effective departmental communication.Collect, compile, and analyze data relevant to departmental activities, preparing reports, presentations, and spreadsheets as requested.Assist in coordinating departmental projects by tracking progress, updating schedules, and facilitating team communication.Monitor project timelines and deadlines to ensure timely completion.Support financial processes, including budget monitoring, expense tracking, invoice processing, and coordination with finance departments.Identify opportunities for streamlining administrative processes and implement efficiency-enhancing measures.Handle sensitive and confidential information with discretion, ensuring compliance with organizational policies and relevant regulations.Collaborate with administrative staff and department members to foster a positive work environment and support cross-functional teamwork.Review and conduct quality checks of documents, maintain engineering document management systems, update distribution lists, and create organizational charts.Essential Skills5+ years of experience in administration or project coordination.Proficiency in Bluebeam PDF Editor, MS Visio, Smartsheet, SharePoint, and MS Office Suite.Strong calendar management skills.Diploma in a related field.Additional Skills & QualificationsBachelor's degree is a plus.Experience in engineering or construction is beneficial.Ability to communicate effectively and professionally with engineering personnel and job site teams.Strong problem-solving skills and ability to prioritize diverse tasks.Flexibility in adapting to changing requirements.Work Environment

Pay and Benefits

The pay range for this position is $33.00 - $34.00/hr.
