Employee Health Services Representative

**Schedule**
Full Time: 40 hours per week, Monday - Friday Days
**General Summary**
Provides administrative and clerical support functions including front receptionist office, annual compliance activities, and record keeping. Ensures expedited information sharing, problem resolution and related record keeping for the purpose of meeting Employee Health customer needs.
**Duties and Responsibilities**
**Essential Functions:**
+ Provides front desk/reception coverage. Greets and registers patients in accordance with established policies and procedures. Schedules patient appointments within established parameters. Enters and/or retrieves data from established computer files using knowledge of various computer software applications. Ensures customers' needs are met in a timely manner through effective communication with providers.
+ Answers telephones, routes callers, takes messages and provides routine information to callers. Coordinates and triages phone calls for Employee Return to Work/Fitness for Duty/Health History events.
+ Coordinates compliance for non-bloodborne exposure events such as those to TB, Pertussis, and Flu. Sends initial and follow-up letters to staff members involved in exposure and assists clinician with documentation.
+ Schedules, coordinates and/or arranges meetings, appointments, providers' Systoc schedule and requests for PTO.
+ Responds to customer inquiries for information/documentation/records. Organizes information as requested by JACHO, DOH, or other Health Care facilities.
+ Participates in annual Employee Health activities/projects such as the PPD/Flu program, Cytotoxic Questionnaires, Fit Testing, Meningococcal Vaccine and development of System Calendar. Sends annual compliance reports and responds to customer inquiries on departmental status.
+ Provides administrative support to Director of Employee Health and Safety.
+ Provides administrative support to Clinicians including correspondences to customer groups, registering patients for tests in Eclipsys, communication with other provider offices for referrals.
+ Provides backup support to Employee Health Coordinators, WC Case Managers, and Safety Specialists.
+ Assists with department data base management functions, data entry and scanning such as RedCarpet, Systoc, Lawson, and sharepoint sites. Enters or retrieves data from established computer files using knowledge of various computer software systems.
+ Attends meetings at the request of Director; Maintains minutes, agendas for pertinent meetings. Arranges data in excel, types reports and other related administrative support duties.
+ Orders food/kitchen/office supplies, maintains waiting room for cleanliness and safety, maintains educational information for waiting room/hallway bulletin boards, waiting and exam rooms.
+ Opens and routes incoming mail; distributes correspondence and other material to staff.

**Qualifications**
**Minimum Education:**
+ High School Diploma or GED Required
**Work Experience:**
+ 3 years Relevant experience. Required
**Knowledge, Skills, and Abilities:**
+ Excellent skills with automated office applications.
+ Great affinity for learning multiple computer systems.
+ Excellent communications/interpersonal and customer service skills/telephone etiquette.
+ Excellent organizational skills and prioritization.
+ Proficient in Word, Excel, PowerPoint, Outlook, and Access preferred.
+ Knowledge of internal software applications such as Lawson, Eclipsys, RedCarpet, Sharepoint.
