What is the opportunity?
A 12-month FTC position to start in October to provide highly professional and efficient executive support to the Head of CME and the CME team within global investment banking, while undertaking a wide range of administrative and EA duties with minimal guidance.
What will you do?
Complex diary management, anticipating the requirements and priorities of Head of CME and the CME teamEffectively managing competing priorities with minimal supervision.Manage inboxes for urgent items and for meeting materials.Arrange travel and accommodation using online system (Concur) and prepare itinerariesProcess expenses in a timely manner using online system (Concur)Responding in a professional manner to incoming emails and phone calls and relaying accurate informationPreparation of materials for key meetings, including agendas, meeting minutes, actions tracking and when required preparation of PowerPoint presentations, Word documents and Excel spreadsheetsEvents management as required, in-line with strategic priorities, including but not limited to client events, off/onsites and other adhoc events Maintaining accurate holiday and absence records for the teamEnsuring that mandatory training requirements are completed by the teamAssist with various ad hoc assignments or duties as neededWhat do you need to succeed?
Must have
Experienced EA with ability to work independently.Strong organisation skills at all levels involving a high level of attention to detail across all tasksAdvanced knowledge of Outlook, Word, Excel and PowerPointConcur and CRM experience is an advantageAbility to quickly learn internal IT systems.Collaborative approach with colleaguesHardworking, enthusiastic and professional work ethic.Flexible approach to out of hours workingPro-active style and ability to prioritise, to pre-empt and multitask, with ability to work independently and as a team playerMature, calm, diplomatic and professional approach at all timesStrong communication skills (both vocal and written) with tact and diplomacy and ability to converse with senior management.Calm and flexible nature in terms of dealing with urgent requests and situations.A broad experience of dealing with a wide range of different personalities and workloads.Strong organizational skills, attention to detail and problem-solving skills.Good time management.Nice to have
