We are seeking an Executive Assistant & Delivery Operation Coordinator

What this job involves:

As the Executive Assistant & Delivery Operation Coordinator at JLL, you'll be at the heart of our operations, providing crucial support to our Country Leader and team while coordinating between our Milan and Rome offices. This dynamic role requires exceptional organizational abilities, communication skills, and a talent for multitasking in a fast-paced environment. You'll be empowered to shape the success of our business operations while embodying our belief that real estate is a human business. What your day-to-day will look like:

• Manage comprehensive calendar scheduling, travel arrangements, and administrative support for the Country Leader and leadership team • Conduct due diligence processes for clients and suppliers, creating and reviewing new contacts in internal software systems • Serve as the vital link between our Milan and Rome offices, ensuring seamless communication and coordination • Process and manage official company communications, including PEC (certified email) distribution to relevant stakeholders • Coordinate with Marketing to organize internal and external events, including venue selection, vendor management, and client communications • Support Country Leader interviews and presentations by arranging preparation meetings and ensuring timely delivery of supporting materials • Assist with statutory obligations including Board meeting preparations, stakeholder communications, and legal documentation • Review contracts, manage Health & Safety responsibilities, and perform data entry • Provide support to the Workplace team

Required Qualifications:

• Fluent in English and Italian (written and spoken) • Exceptional organizational skills with proven ability to manage multiple priorities simultaneously • 3-5+ years of experience in an administrative or executive assistant role • Strong attention to detail with ability to review and process documents accurately • Excellent communication skills and professional demeanor • Proficiency with Microsoft Office suite and aptitude for learning new software systems • Team-oriented mindset with ability to work independently when required

Preferred Qualifications:

• Previous experience supporting C-level executives • Familiarity with corporate governance processes and documentation • Background in real estate, professional services, or related industries • Experience coordinating between multiple office locations • Knowledge of event planning and execution • Demonstrated problem-solving abilities and proactive approach • Understanding of digital signature processes and legal documentation requirements

Come si presenterà la tua giornata lavorativa:

• Gestire la programmazione completa del calendario, organizzazione viaggi e supporto amministrativo per il Country Leader e il team dirigenziale • Condurre processi di due diligence per clienti e fornitori, creando e revisionando nuovi contatti nei sistemi software interni • Fungere da collegamento vitale tra i nostri uffici di Milano e Roma, garantendo comunicazione e coordinamento senza soluzione di continuità • Elaborare e gestire le comunicazioni ufficiali aziendali, inclusa la distribuzione PEC (posta elettronica certificata) ai portatori di interesse pertinenti • Coordinare con il Marketing per organizzare eventi interni ed esterni, inclusa selezione location, gestione fornitori e comunicazioni clienti • Supportare interviste e presentazioni del Country Leader organizzando riunioni preparatorie e garantendo consegna tempestiva dei materiali di supporto • Assistere con gli obblighi statutari inclusa preparazione riunioni del Consiglio, comunicazioni con stakeholder e documentazione legale • Revisionare contratti, gestire responsabilità Salute e Sicurezza ed eseguire inserimento dati • Fornire supporto al team Workplace

Qualifiche Richieste:

• Fluente in inglese e italiano (scritto e parlato) • Eccezionali competenze organizzative con comprovata capacità di gestire simultaneamente priorità multiple • 3-5+ anni di esperienza in ruolo amministrativo o di assistente dirigenziale • Forte attenzione ai dettagli con capacità di revisionare ed elaborare documenti accuratamente • Eccellenti competenze comunicative e comportamento professionale • Competenza con la suite Microsoft Office e attitudine per apprendere nuovi sistemi software • Mentalità orientata al team con capacità di lavorare indipendentemente quando richiesto

Qualifiche Preferibili:

• Precedente esperienza nel supporto a dirigenti C-level • Familiarità con processi e documentazione di governance aziendale • Background nel real estate, servizi professionali o settori correlati • Esperienza nel coordinamento tra multiple sedi • Conoscenza di pianificazione ed esecuzione eventi • Dimostrate capacità di problem-solving e approccio proattivo • Comprensione dei processi di firma digitale e requisiti di documentazione legale
