The St. Paul Park Refinery has a full-time opening for a Document Control Coordinator responsible for document control and administration of knowledge management systems for the Marathon Petroleum Co., St. Paul Park Refining Engineering Department. The Document Coordinator is the local administrator for knowledge management software and is responsible for ensuring processes and procedures are followed to create or maintain controlled documents for origination, modification, and retention so that controlled documents are up-to-date and reliable sources of information.  The Document Coordinator is also the gatekeeper for process safety information (PSI), engineering policies and procedures, project documentation and serves as the Central Files Custodian.  Main job duties include, but are not limited to: 

JOB DUTIES:

Utilizes electronic document management software, databases, and content management software (OpenText, SmartPlant Instrumentation (SPI), Meridium APM, SAP APM, SharePoint, others as needed) for document and process safety information management and control as a primary responsibilityAligns the refinery organization with corporate document management standards including 3rd party document retention practicesFacilitates and enforces controlled processes and practices to ensure the accuracy, validity, and reliability of controlled documents during their creation, modification/revision, and retentionTracks document activity/status and chain of custody pertaining to the production, exchange, and modification of the documentation for update requests.Identifies optimization opportunities in information management processes, procedures and systems to remove inefficiency and redundant activities for document control and knowledge managementMaintain record retention timelines for managed documents and initiates scheduled document reviewsProcess internal and external requests for copies of refinery drawings for review or revision.Manages priority and timeline for document updates with engineering contractorsAssigns new drawing and line list numbersOwns and updates central files and supports the standard project filing system, and leads transition of hard files to electronic systemsMaintains the Engineering SharePoint contentSupports and facilitates PSI audits for process hazard analysis (PHAs)Supports P&ID updates for management of change (MOC) start-ups and turnaroundProvides training for OpenText usersSupports new knowledge management initiatives, data quality improvements, and development of data driven applications

REQUIRED QUALIFICATIONS:

3 years previous experience in a field relating to either document control, knowledge management, IT, or engineering disciplinePost secondary degreeWillingness to learn and ability to understand software systems’ architecture to optimize information management and processesStrong organizational skillsExcellent written and verbal communication skillsExcellent problem solving skillsExpert working knowledge of Microsoft Office software

DESIRED QUALIFICATIONS:

Previous refinery experienceExperience with engineering drawings such as P&IDs, plot plans, line lists, data sheets, loop drawings and electrical one linesWorking experience with the following software applications:OpenText or other EDMS, MS SharePoint, SAP, Meridium, SPI, AutoCAD, ePlot (ArcGIS), Cognite or other AI apps
